To Delegate Or Not To Delegate







Many small-business owners spend too much of their time doing tasks that could be done by someone else. For any business owner it's not easy to give up control of something you have been doing for a long time. Being able to delegate tasks and free up your time is one of the keys to success in any business. For some people letting go of control isn't always easy. This is when you need to set your ego aside and realize you aren't the only one who can do it and you aren't the only one who can do it right. You may think that is can't be done as well as you have done it, or your way is the only way to do it. It's important to assign the task, not the method of how to do it. You can tell them how you have done it, but if the person you are delegating to does it differently and the outcome is the same, that's what matters. It's important that you have to take the time to show them what needs to be done and train them right. The thing that matters is you aren't the one doing it and you are getting more out of your time. When you delegate tasks, it not only helps you, but helps the person you are delegating to learn more, grow in their career and become more successful.

Delegation is an act of trust, because there is a chance for failure. One key to successful delegation is to hire the right people. If you hire the right people, the trust you need to delegate those tasks gets in place sooner. You have to be patient with the person you are delegating the task to. You probably didn't do it right the first time and you shouldn't expect them to be perfect the first time around. At first, it may slow you down, but in the long run it will be a positive decision and will increase your productivity.

When trying to decide where to delegate, ask yourself whether the task has to do with process or results, with the tacticalor strategic. When delegating you have to be clear on what you want done, when you need it done, and why it needs to be done so the person you are delegating the task to understand the importance of what you are giving them to do.

The easiest tasks to delegate are tasks which closely relate to the work employees are already doing; tasks with clearly defined procedures and end results; repetitive tasks that fit into the normal work flow; and tasks that enable employees to develop themselves. Don't delegate part of a task, delegate the whole thing so they understand the entire process.Although there are probably quite a few tasks you can delegate, there are some that you shouldn't. For example, things of a highly sensitive nature, such as salary reviews and disciplinary actions are probably ones you shouldn't delegate.

Once you decide to delegate, you need to back off. If you delegate a task and then stand over their shoulder or constantly follow up with them, what's the point of delegating? You are probably spending as much if not more time following up that you did when you actually did the task yourself. You can check in with them, but don't be overbearing.

Make sure that employees understand the latitude they have in making decisions. If they come to you with an issue, ask them what they think the solution should be. Make sure they understand that once it is delegated it belongs to them. Don't let them come to you with an issue and expect you to give them the answer - they need to own it. It's okay to ask for advice, but not okay for them to ask you to solve the problem.

One of the last things you should always do is to thank the person to whom you have delegated the task. Thank you goes a long way. Let them know you are thankful for the help and you will see that they are more likely to approach you and ask if they can help to take more off your plate.
